Health And Safety Policy
Health and Safety Policy for Gardeners Swiss Cottage
Gardeners Swiss Cottage is committed to providing a safe and healthy working environment for our employees, clients, visitors and the wider public. This Health and Safety policy sets out our approach to managing risks associated with gardening, grounds maintenance and related services in residential and commercial outdoor spaces.
Policy Statement and Objectives
Our objective is to prevent injury, ill health and property damage by identifying, assessing and controlling risks arising from our work activities. We will comply with applicable health and safety legislation and recognised industry best practice. Health and safety is a core part of how we plan, deliver and review our services.
All employees and contractors working on behalf of Gardeners Swiss Cottage are required to follow this policy and associated procedures. Health and safety responsibilities are clearly communicated and form part of our ongoing training and supervision.
Roles and Responsibilities
Management is responsible for implementing this policy, providing the resources needed to work safely, and regularly reviewing performance. Supervisors must ensure that tasks are properly planned, that staff are competent and that appropriate equipment and protective gear are available and maintained.
All gardeners, operatives and contractors have a responsibility to take reasonable care of their own health and safety, and that of others who may be affected by their actions or omissions. They must follow instructions, use equipment correctly, wear suitable protective equipment and report hazards, near misses and incidents without delay.
Risk Assessment and Safe Systems of Work
Before beginning work, we assess the risks associated with the site, tools, materials and methods to be used. This includes considering access routes, slopes, surfaces, weather conditions, existing structures, underground services and the presence of members of the public and pets.
For routine tasks, we develop safe systems of work that describe the correct methods and precautions. For higher risk activities such as tree work, powered machinery, working at height or handling chemicals, we carry out specific risk assessments and may introduce additional controls, supervision or specialist contractors as required.
Use of Tools, Machinery and Vehicles
All tools and machinery used by Gardeners Swiss Cottage must be suitable for the task and maintained in safe working order. Pre use checks are carried out and any defective equipment is withdrawn from service until repaired or replaced.
Powered machinery such as mowers, hedge trimmers, blowers and chainsaws is operated only by trained and competent personnel following manufacturer instructions and our safe working procedures. Guards and safety devices are never removed or bypassed.
Where vehicles or trailers are used to transport staff, tools and materials, drivers must hold the appropriate licence and operate vehicles safely, with consideration for other road users and the surrounding community.
Personal Protective Equipment
We provide and require the use of appropriate personal protective equipment for the tasks undertaken. This may include safety footwear, gloves, eye and hearing protection, high visibility clothing, respiratory protection and helmets for specific work activities.
Employees must use protective equipment correctly, maintain it in good condition and report any loss or damage. We review protective equipment requirements regularly in line with changing tasks, tools and legislation.
Chemical and Biological Hazards
Where we use horticultural chemicals such as fertilisers, weed control products or plant treatments, we do so in accordance with product instructions, safety data sheets and relevant guidance. Only trained and authorised staff may handle and apply such products, and they must wear the required protective equipment.
We also recognise biological hazards in gardening, including soil borne organisms, sharp plant material, insects and allergens. Staff are informed of these risks and encouraged to maintain good hygiene, use appropriate tools and report any concerns or health issues that may arise from exposure.
Protection of Clients, Public and Property
We plan our work to minimise risks to clients, neighbours, passers by and their property. Work areas are kept tidy and, where necessary, we use barriers or signage to separate the public from active work zones. Tools and materials are stored safely and never left unattended in a way that could cause harm.
Noise, dust and vibration are controlled as far as reasonably practicable. We aim to schedule more disruptive work at appropriate times and in consultation with clients where possible.
Manual Handling and Ergonomics
Gardening work often involves lifting, carrying, bending and repetitive movements. We encourage the use of mechanical aids, team lifting and careful planning to reduce the need for manual handling. Staff receive guidance on correct lifting techniques and posture to help prevent strains and injuries.
Where possible, tasks are organised to vary physical demands, and staff are encouraged to take reasonable breaks and to report discomfort or early signs of musculoskeletal problems.
Training, Communication and Supervision
Gardeners Swiss Cottage provides appropriate induction and ongoing training covering health and safety procedures, safe use of equipment, emergency arrangements and specific hazards relevant to our work. Competence is assessed and refreshed at suitable intervals.
We maintain clear communication channels so that staff can raise concerns, suggest improvements and access guidance. Supervisors monitor work on site to ensure that safe practices are followed and that new or young workers receive additional support.
Accidents, Incidents and Emergency Response
All accidents, injuries, near misses and instances of property damage must be reported as soon as possible. We record and investigate such events to understand their causes and to implement corrective actions that prevent recurrence.
First aid arrangements are in place, and staff know how to access assistance in the event of an emergency. Site specific emergency considerations, such as access for emergency services, are taken into account when planning work.
Environmental Considerations and Community Impact
We recognise the close connection between health, safety and the environment in gardening work. We aim to use methods and materials that are safe, sustainable and considerate of local ecosystems. Waste is managed responsibly and removed from sites to prevent hazards and visual impact.
By working neatly, respectfully and with awareness of our surroundings, we support not only the safety but also the comfort and wellbeing of our clients and the wider community.
Monitoring, Review and Continuous Improvement
This Health and Safety policy is reviewed regularly and whenever there are significant changes in our activities, equipment or legislation. We monitor performance through site checks, feedback, incident reports and training records, and we use this information to improve our systems.
Health and safety is a shared responsibility. Gardeners Swiss Cottage expects everyone involved in our work to cooperate in maintaining high standards and to contribute to a culture where safety, care and professionalism are central to how we operate.
